Terms of Service

Last updated: 2 July 2026
Operator: Kordvik is operated by [legal entity & org. no. — confirm before publication], Sweden ("Kordvik", "we", "us"). Contact: support@kordvik.com.

1. The service

Kordvik is a software-as-a-service application that helps businesses centralise vendors, contracts, contacts, and renewal dates; extract contract details from uploaded documents; and receive reminders and AI-assisted analysis. These terms are a contract between the customer ("you") and Kordvik. By creating an account or using the service you accept them. If you use Kordvik on behalf of a company, you confirm you are authorised to bind that company.

Kordvik is a business tool and is offered to businesses and professionals, not to consumers.

2. Accounts and workspaces

  • You must provide a valid email address and keep your credentials secure. You are responsible for activity under your account. We support and recommend two-factor authentication and passkeys.
  • Data in Kordvik is organised in workspaces. The workspace admins control membership, roles, integrations, billing, and deletion of the workspace.
  • You are responsible for the people you invite and the permissions you grant them.

3. Your data

  • You own your data. Contracts, vendor records, uploaded documents, and everything else you put into a workspace remain yours. We claim no rights in it beyond what is needed to run the service.
  • We process personal data in your workspace content on your behalf as a processor — see the Data Processing Addendum, which forms part of these terms for business customers subject to the GDPR.
  • You can export your data (CSV export, personal-data download) and delete your workspace or account at any time from within the product.

4. Plans, trials, and billing

  • Kordvik offers a Free plan and paid plans (currently Team and Business); current prices and plan contents are shown on the pricing section and in the in-app billing page. Prices exclude VAT/sales tax, which is added where applicable.
  • New workspaces start with a 14-day Business trial at no charge and with no card required. When the trial ends without an upgrade, the workspace moves to the Free plan automatically — your data is retained, but paid features are switched off and Free-plan limits apply.
  • Paid subscriptions are billed monthly or annually in advance through our payment provider (Stripe) and renew automatically until cancelled. You can cancel at any time; the subscription then runs to the end of the paid period and is not renewed. Except where required by law, fees are non-refundable.
  • If a payment fails and remains unpaid after the paid-through date, the workspace moves to the Free plan until payment resumes.
  • We may change prices with at least 30 days' notice; changes take effect at your next renewal.

5. Acceptable use

You agree not to:

  • use the service unlawfully, or upload content you have no right to process;
  • probe, breach, or test the security of the service other than under our responsible disclosure terms;
  • resell or provide the service to third parties as a service bureau, except for the intended multi-client use by accounting/administration firms managing client workspaces;
  • interfere with the service's operation, or impose an unreasonable load on it.

6. AI features

Kordvik includes AI-assisted features (document extraction, contract risk review, vendor benchmarking, negotiation drafts, savings estimates). AI output can be incomplete or wrong. It is provided as decision support, not legal, financial, or professional advice — always verify extracted fields, dates, and analyses against the underlying contract before relying on them. Every AI-extracted field can be corrected manually, and your corrections take precedence.

7. Third-party integrations

You may connect third-party services (for example Slack, Microsoft Teams, Google Drive, OneDrive, SharePoint, or a mailbox). Those services are governed by their own terms, and you authorise Kordvik to exchange data with them on your instruction. Disconnecting an integration stops further exchange.

8. Intellectual property and feedback

Kordvik and its software, design, and branding are our property. We grant you a non-exclusive, non-transferable right to use the service during your subscription. If you give us feedback, we may use it without obligation.

9. Availability, changes, and support

We aim for high availability but do not guarantee uninterrupted service. We may improve and change the service; if a change materially reduces core functionality of a paid plan, you may cancel and receive a pro-rata refund of prepaid, unused fees. Support is provided by email at support@kordvik.com.

10. Warranty and liability

The service is provided "as is" without warranties of any kind, to the extent permitted by law. Kordvik is a reminder and analysis aid — it does not relieve you of responsibility for your own contract deadlines. We are not liable for a missed renewal, cancellation window, or other deadline, nor for decisions taken based on AI output.

Neither party is liable for indirect or consequential damages. Our total aggregate liability under these terms is limited to the fees you paid for the service in the 12 months preceding the claim (or, for Free workspaces, EUR 100). Nothing in these terms limits liability for wilful misconduct, gross negligence, or anything that cannot be limited by law.

11. Suspension and termination

  • You may stop using the service and delete your workspace or account at any time.
  • We may suspend or terminate a workspace that materially breaches these terms, after notice where practicable.
  • After workspace deletion, associated content is removed from production systems promptly and from backups within our backup rotation window (see the DPA).

12. Changes to these terms

We may update these terms. For material changes we will give at least 30 days' notice by email or in-app. Continued use after the effective date constitutes acceptance; if you object, you may cancel before the change takes effect.

13. Governing law and disputes

These terms are governed by the laws of Sweden, excluding its conflict-of-law rules. Disputes are subject to the exclusive jurisdiction of the Swedish courts, with the district court of the operator's registered seat as first instance.
